Email has become such an essential part of the way that we work in the digital age. It seems like the bulk of the communication that we deal with during any given work day come at us through our email accounts. Of course, you may not always want to open your web browser just to check your email. That can take up the whole of your screen, and represent a serious break in your productivity. If you want to be able to keep your eyes on your email without constantly having to open the browser then you may want to consider a free app called Mail Tab for Gmail.

Where can I get Mail Tab for Gmail?

It is a free download in the Mac App Store. Simply type the name of the app into your search field and click Enter. You should see the app in your search results.

Setting Up The App

Let’s begin by setting up your new app. Once it is downloaded, double click on the icon in your dock to open it.

The first time you open the app, you will see a confirmation message, ensuring that the program is allowed to access your Gmail, you have to click on yes if you want to use this app.

Now, you will see a sign in screen. Enter your Gmail username and password. Then click on “Sign in”. Signing in may take a little bit longer with this app then it would with your browser this first time. Just be a little patient, and you will be rewarded. When you here the “ping” noise, you know that you are signed into your Gmail, and can access your messages. You will also hear this ping in the future when you get a new message.

Tip: If you do not want to sign in everytime you launch the app, make sure that the box next to “Remember me” is checked. It should be checked by default the first time that you sign in. If this is a shared computer and you do not want to save your information, then make sure that this box is not checked.

Using The App

Once you are signed in, you will notice an app icon in the upper right hand corner of your screen. To see the messages in your in-box simply click on this icon. Load times may vary.

If you need to view more messages in the list, simply scroll all of the way down to and click the button labeled “Show more messages” and more of your inbox should appear.

If you want to view the contents of a specific message, simply click on it. From here, you can read the message, and then either delete or archive that message by clicking on the buttons. If you do not want to take any action, simply click the “Inbox” button and you will be taken back to a list of your messages.

When you are ready to quit the application, either to go to lunch, or for the day, you can simply click on the small downward pointing arrow next to the message icon. When the menu appears, you can simply click on the words “Quit Mail Tab for Gmail” and you will be signed out of the application and your Gmail account.

Since people started moving all of their information to the clouds by the Terabyte, many of the web based applications have really stepped up their game. It seems to me like I am always hearing about what Google is doing.

While there is no denying I am a big user of Google’s offering, including Gmail, it never hurts to keep an eye open for what else is available. Windows Live mail (Hotmail) has added a staggering amount of upgrades since I had a Hotmail account. Below are some of the things you may not know Hotmail can do.

1. Folders

Folders are the key to keeping your email inbox clear. Whether you move the messages to folders manually or you use other options listed below, having things sorted and organized will only help you find things later on.

The key to using folders is to make a system that works for you.

2. Sweep

This feature is great for those of us who let our inbox go from time to time. Sweeping allows you to select a message and move all of the messages from this sender to a specific folder.

The first use that comes to mind is all of those damned social site updates. If you use Live for the contact email for Facebook, you probably have a lot of notification emails. You can simply check the box by one of them and click on Sweep.

You will be shown the sender’s email address and asked where to move all of the emails to. Select the folder and voila… you have made a dent into the 1000 emails in your inbox.

3. Rules

Once you get your inbox whittled down, you can start making rules for incoming emails to abide by. You can select the a set of variables for any incoming message to be identified. For example, you can use email address, subject, if it has attachments, etc.

After you define which emails need to be sorted, set the destination folder, where they will be forwarded or even to just delete them.

4. Use Hotmail as your main email hub

If you are like may people, you have more than one email address. You can have Hotmail check the inbox of your other email address as if you were using Mozilla Thunderbird, Apple Mail or Outlook.

Having all of your emails going to one spot helps relieve the dread you feel when it is time to check your email. You can tackle all of them in one spot. Because you are using folders and rules, you can tackle your personal emails then your work emails. Then you can read some of those email newsletters you signed up for.

5. Search

Most email sites and apps have a way to search for archived emails. Windows Live has given you a few preset searches: photos, docs or shipping updates. All of these searches are self explanatory, and commonly used. The one I found useful was the shipping updates; I hadn’t seen that before.

6. Creating a document

This is a feature which can come in handy from time to time. You are given access to Office online. You can create and edit Docs, Excel, PPT or OneNote items. If you use public or many different computers, this is a great feature.

You can now be sure that you are able to open and edit the files you were emailed no matter where the computer you are accessing your email on.

Conclusion

Out of the big three (Gmail, Yahoo Mail and Hotmail), I would have to say Hotmail has really made some of the greatest strides towards improving their email offerings in the recent past. It would be a great option for anyone looking for an easy to manage, all-in-one email solution. Sign up for a Windows Live email account and play around with some of the features to see if it works for you.

What features would make you change your email provider?
This means that Hotmail users can now receive/send their mails from their desktop clients. Apparently, Yahoo didn’t think this is a big problem. Until now, they still make the POP3 access exclusive to their premium users.

If you are a Mac and Yahoo user, a good news for you is that you can make use of MacFreePOPs to configure your desktop email client (particularly mail.app) to receive your Yahoo mail. You won’t be able to send mail though. (Windows and Linux users can use the popular YPOPs to configure their desktop clients to access Yahoo)

First download MacFreePop here.

Run MacFrePop. You should see the screen below:

If the update button is available, make sure you click it and update all the internal files. Failure to update the files might render this application useless.

Click on the Extra options to show a list of configuration options. Click on the freepopsd service tab.

Place a check in the first row of options and change the port to 2000 and the address to 127.0.0.1

Once that is done, click on the Start freepopsd service to start the server running.

Now open up your mail.app.

Go to Mail->Preferences and select on the Accounts tab. At the bottom, click on the ‘+’ to add a new mail account.

Enter your name, email address and the password. Leave the “Automatically set up account” option alone.

Click Continue.

Select POP from the dropdown option.

In the Incoming Mail Server field, enter “127.0.0.1“.

In the User Name field, enter the full email address (including the @yahoo.com). Click Continue.

MacFreePop does not allow you to send emails from your Yahoo account, but you can still configure it to send via third party email accounts (or your existing accounts).

At the Outgoing Mail Server dropdown option, choose a setting that you have previously configured. Click Continue.

You should be done with the new account setup. Back in the Account options screen, highlight the newly created account on the left pane and select the Advanced tab on the right pane.

In the Port field, change it to 2000.

Exit the Preferences window.

Back to your Inbox, click on Get Mail. Your mail.app will start to download all your Yahoo emails now.

Troubleshooting

Why can’t I receive emails?

Make sure that you update all the internal files of MacFreePop by clicking the Update Available button.

Make sure that you start the freepopsd server before you start to retrieve emails.

Make sure that in the account setup section, you use ’127.0.0.1′ as the Incoming server.

Make sure that you have changed the port to 2000 in the Account setup.

Yahoo Zimbra is an excellent desktop application which lets you manage multiple email accounts in a single window. Other than emails, it also allows you to manage your calendar, tasks, documents and briefcase all in a single suite. As the same as other desktop email client, you can download all your emails while you are online and view them later in your desktop (perhap while you are on the move?). Being a close competitor to Outlook and Thunderbird, one of the advantage that Zimbra has over other is that it is easy to configure and you are able to integrate various services all in one place, such as browsing your Yahoo email, work with Google calendar and sync with Hotmail address book. In this article, we will discuss how to setup Yahoo Zimbra Desktop application in Windows.

1. Download Yahoo Zimbra Desktop application and install on your windows platform.

3. Select the Email service provider. Zimbra comes with pre-configured setting for the various popular email services such as Yahoo mail, Gmail, Hotmail, Zimbra mail and AOL mail. You can also choose to configure your own IMAP and POP account.

4. Enter your email address, account name, password. Select how frequent you want Zimbra to check your mailbox and whether you want to synchronize with your address book and calendar services.

5. If you want to add more email accounts, click Add New Account. If not, click on Launch Desktop
